Club Concierge

FULL-TIME (Split shift work schedule)

SUMMARY

Four Walls Squash and Social Club is a multipurpose fitness and wellness center with a mission to foster health and happiness for professional people through sport, fitness, art, culture, and community. We are seeking a reliable Club Concierge with a belief in our club, its programs, and its culture to make clients of a club feel welcome and to assist members, guests, and management with a variety of needs.

The ideal candidate will be a smart and trustworthy individual with a willing attitude and genuine interest in the Club, capable of delivering exceptional customer service to members and guests, along with administrative and operational support to the management team. The ideal candidate should have excellent organizational, communication, and customer service skills to succeed in this role.




JOB DUTIES

Customer Service

  1. Warmly greet and proactively engage members and guests entering and exiting the club, making them feel welcome and attended
  2. Act as the first point of contact for customers/members providing information about club programs, and routing the inquiries to the appropriate internal contacts within the club
  3. Assist prospective members by explaining membership options and benefits and touring around the facility
  4. Provide members/guests with recommendations for classes, events, and other club offerings.
  5. Understand and clearly articulate food and beverage offerings to customers
  6. Actively listen and respond to members’/guests’ questions, concerns, and requests to resolve issues in a personalized manner.
  7. Act as a liaison between members and guests, and any department necessary including the bar staff, coaches, and management team.
  8. Engage members in conversation regarding club services, and display a strong knowledge of club activities, including all marketing and promotional events.
  9. Anticipate and address the needs of guests, answering questions, giving directions, and other information
  10. Facilitate and maintain an elevated lounge atmosphere by building rapport with guests


Administration

  1. Act as the main point of contact for vendors, partners, and sponsors for club related activities
  2. Monitor and address inquiries and comments in email, via telephone, on social media pages and WhatsApp chat groups in a courteous and timely fashion
  3. Create, organize, and update a variety of schedules and assignments (staff  rosters, playing schedules, forms, reports, etc)
  4. Assist with maintaining the club website and other digital communication assets 
  5. Input and update member information, research and build vendor and customer lists as needed, and keep all club records up to date
  6. Collect and record bills for all purchases; prepare pay stubs, and assist with billing and payments overall  
  7. Assist with managing inventory of supplies, ordering new stock, checking and receiving all deliveries.
  8. Sourcing and purchasing of miscellaneous supplies (must be able to pick up items if needed).  
  9. Assisting with conceptualizing, planning, and organizing special events and projects as needed
  10. Provide marketing support for all promotions and special events, including capturing photos and videos for social media as needed, monitoring social media comments, etc


Operations

  • Manage member and guest registration/bookings for all squash and fitness programs and other activities, including making follow-up calls and tracking attendance  
  • Register and check-in members and guests for court sessions, classes and activities as needed, and manage attendance records, reservations and follow-ups related to same 
  • Act as a hostess as needed to greet, welcome and seat guests in a warm and friendly manner
  • Managing reservations
  • Provide menus to customers 
  • Greet customers upon their departure
  • Assists others with side work including, but not limited to cleaning, stocking, folding silverware, placing menus, etc.
  • Assist with opening/closing clubhouse duties according to Four Walls procedures
  • Helps fellow team members and other departments wherever necessary to maintain positive working relationships.
  • Assist with planning and setting up decor for special events 
  • Other duties that may be assigned


REQUIREMENTS

Skills & Qualifications

  • Ability to verbally communicate in a professional and effective manner.
  • Effective communication both written and oral
  • Strong interpersonal skills
  • Polite and confident with a great deal of patience
  • Ability in multitasking and time management
  • Aptitude in resolving issues with a customer-focused orientation
  • Must be proficient with technological systems
  • Must have own transportation
  • Experience in a service role in the hospitality industry. Experience in customer service or a concierge role is an advantage
  • High School Diploma required
  • Must be flexible as working hours will include early mornings, evenings, and weekends. 
  • Bachelor’s Degree in hospitality in a relevant field is a plus
  • Restaurant service or bartending experience is a plus
